Bookkeeper w/ XERO

Duties and Responsibilities:
 
There are 3 parts to this role – finance, administration and reporting:

Financial 
  • Entry of bills and once approved prepare payment runs for approval
  • Entry of credit card transactions and matching with receipts
  • Import invoices, credit note/allocations, payment from aXcelerate to Xero
  • Receipt all payments received on a daily basis
  • Reconcile invoice/balances owing on WSC invoices between Xero and aXcelerate
  • Issue debtor statements monthly and debtor follow up via mail
  • Manage client invoicing systems e.g. Ariba
  • Assist operations team when purchase orders are received
  • Prepare fortnightly timesheets for pay run and other payroll related tasks as requested
  • Assist operations team with client invoicing to ensure travel/equipment costs are recharged to client accurately
  • Following up with operations team on issues with WSC invoices (missing PO’s, due dates etc)
  • Assist the Operations Manager with refunds to students when required
  • Process credit applications once approved
  • Undertake all financial administration
  • Maintain organisation set ups in aXcelerate (duplicates, payer contacts)
  • Other bookkeeping and reporting duties as required
 
Administration
  • Processing of enrolments and data for open courses – this includes managing / editing PDF’s, data entry and compliance checking documents
  • Entering course evaluation data, industry engagement forms and trainer timesheet data into the appropriate registers
  • Managing and merging duplicates within the student management system.
  • Attaching documents to various locations in the student management system.
 
Reporting
  • Maintain integrity of data with the student management system (i.e. course data)
  • Use the data in the student management system to prepare key metrics report on a weekly basis
  • Preparing monthly reports (e.g. on trainer evaluation data, currency of trainers etc) – this includes manipulating exported data using pivot tables in Excel and then updating Word reports
  • Any other tasks as directed by the Operation Manager.
 
Qualifications and Experience:
  • A graduate of Accountancy
  • Minimum of 1-2 years bookkeeping experience
  • Experience with Australian accounting system (GST) preferred but not essential
  • Experience in the use of Xero accounting software is essential
  • High level of integrity and with strong work ethic
  • Good Interpersonal and communication skills
  • Team player
  • Excellent attention to detail
  • Strong analytical and numerical skills
  • Excellent use of MS Office Applications – particularly Word and Excel
  • Must be willing to work in Clark, Pampanga
