Bookkeeper with Admin (Australian Background and Xero)

Duties and Responsibilities:
  • Compilation of sales contracts
  • Accurate filing and storing of sales contracts
  • Manage and develop relationships with key stakeholders internal and external
  • Communicate with all related parties to push contract from conditional to unconditional
  • Communicate with all related parties to facilitate contract exchange
  • Communicate with all related parties to facilitate contract settlement
  • Use Salesforce and Portal to manage reservations, cancellations, contracts and client details
  • Use Salesforce to record all contract progress and communication notes
  • Continually communicate with all related parties on contract status and changes
  • Adhere to internal rules and guidelines related to contract issuing, amendments, exchange, settlement and fall over
  • Follow all contract related processes and procedures and assist with the development of new processes and procedures to further automate the contract administration process
  • Coordinate contracts administration procedure to assist with project launches
  • Ensure high level of communication with settlement, finance and channel network
  • Follow up developers for construction update and keep internal team up to date
  • Handle escalated issues and questions from account managers through to Channel Manager
  • Stay up to date with legal and regulatory changes in the industry and implement any changes that affect current procedure
  • Assist settlements team with contract matters and assist settlements as required
  • Assist account managers with administration tasks to ensure Salesforce is up to date with client and contract information
  • Provide support to account management team for any administration requirements
  • Keep up to date with new technologies
  • Prepare detailed reports and updates for Channel Manager
  • Report to Management weekly on contract status across all projects
  • Report to Management on new updates and releases required for contract administration
  • Attend weekly sales meeting when required
  • Ledger Reconciliation
  • Basic Trust account management and bookkeeping
  • Maintain the records of accounts payable by scanning and filing all source documents and system generated reports and prepare reports and other documentation for management when requested
  • Liaise with and provide appropriate advice to staff on accounts payable issues including escalation point for complex queries
Qualifications and Experience:
  • At least 1 year of experience handling Australian clients
  • Basic Bookkeeping experience 
  • Basic understanding of contract flow
  • Experience in Xero
  • Proficient in MS Office and Google Apps
  • High attention to detail
  • Proactive and flexible during times of increased workload

  • Ideally with experience in Contract Management
