Executive Assistant

Duties and Responsibilities:
  • Schedule meetings across multiple time zones for multiple partners and employees.
  • Invite correct parties, including clients of the firm, confirming meetings directly with clients
  • Book appropriate meeting rooms and meeting attendees. Alter team leader for last minute meetings or changes
  • Support Hong Kong office, with occasional support for US and London employees
  • Display good client service in interacting with clients of the firm. Mirror the language and tone of other employees and provide warm, professional and prompt replies to clients
  • Send reminders regarding meetings
  • Add clients and prospects to Outlook and other firm databases
  • Phone calls to book restaurants and other travel arrangements (some international)
  • Online booking of meeting rooms at We Work
  • Personal assistant support to partners on a variety of issues
  • Set up conference calls and Zoom meetings
  • Assist with senior partner expense reports and credit card expense reconciliation
  • Ad hoc excel and PowerPoint projects, including formatting of PowerPoint presentations
  • Reconcile revenue by partner on a monthly basis, pulling data from multiple sources.
  • Calculate revenue allocations based on formulas for accounting team
  • Assist finance team with ad hoc items related to payroll
  • Track employee leave, including sick leave, holiday, unpaid leave
  • Assist with preparing and organizing documents for partner tax returns
  • Varied search engine research on various topic
  • Obtain factsheets from Morningstar and websites
  • Track employee continued education courses
  • Assist with organizing cloud-based files and assist compliance officer with client file checks
  • Arrange maps/directions as needed for overseas meetings
Qualifications and Experience:
  • At least 1 year of similar work experience
  • Highly proficient in using MS Office, especially in editing formatting Word, Excel and PowerPoint
  • Fluent spoken and written business English and the ability to adapt style to reflect the partners
  • Excellent skills related to Outlook and email
  • Proficient in Microsoft Office especially Word, Excel, and PowerPoint
  • Organized – there can be absolutely no errors in meetings or scheduling
  • Good team player, who is also able to work efficiently and effectively independently
  • Ability to calculate time zones and schedule accordingly
  • Ability to learn other software and systems including CRM and databases
  • Must be willing to work in Clark, Pampanga
