Duties and Responsibilities:
  • Render direct assistance and support to Company Executive 
  • Interact with company staff at all levels in a fast paced, high pressure and proactive environment
  • Exercise a high level of monitoring and control in all activities
  • Effectively manage and plan schedule ensuring time is optimized for different meetings and tasks 
  • Manage personal calendar including but not limited to events, functions and similar activities
  • Actively manage and follow up on action items by dialing in and listening during meetings, taking instructions and giving out prompts and reminders
  • Manage credit card system and expenses ensuring credit card statements are promptly taken care of
  • Follow up on receipts and access Uber account to download documents/information, when needed
  • Monitor, book and confirm flight schedules and accommodation when required
  • Handle incoming and outgoing communications (including electronic mails and chats) as requested
  • Review and create reports or documents
  • Maintain and update highly confidential company files and database
  • Organise and file company documents
  • Communicate with people for updates or confirmations
Qualifications and Experience:
  • Degree in Office Administration, Business Management or related
  • At least 2 years of experience in an Executive Assistant role
  • Strong background in managing and optimizing schedule
  • Experience in managing and coordinating action items
  • Proficient in MS Office and MS Outlook
  • Excellent English communication skills both verbal and written
  • Ability to adapt to new tools and software
  • Highly analytical and detail-oriented
  • Have superior organisational skills
  • Ability to work within deadlines and under pressure in a fast-paced environment
  • Accountable and takes ownership of tasks that are needed to be done
  • Thrives in an environment of rapid change and easily handles shifting priorities
  • Must have the highest regard for confidentiality
  • SAP and Concur experience would be nice to have
