HR & Admin Specialist

Duties and Responsibilities:

● Provide direct assistance and support with high degree of independence and anticipate the
requirements of the Manager and/or team
● Interact with company staff (at all levels) in a fast paced, high pressure and proactive
● Organise, monitor update, and manage calendar appointments requiring interaction with both
internal and external parties
● Handle incoming and outgoing communications (including electronic mails)
● Setting appointments over the phone on behalf of Sales team through relationship calls
● Compiling of weekly, monthly and annual reports
● Maintain and update spreadsheets and databases
● Does follow through on issues and tasks in a timely manner
● Drafting presentations and communications materials
● Reconciliation – Responsibility for the daily/weekly/monthly reconciliation and payroll
● Account and monitor expenses
● Execution of monthly billing activities
● Processing of invoices/expense claims etc. – possibly
● Rostering and forecasting
● Assist in HR/Recruitment activities
● Other administration duties as required to support the Manager and/or team
● A graduate of Office Administration, Management, Business Administration or any related field
● At least 3-5 years’ experience in Administration
● Fantastic spoken and written English skills
● Exceptional phone manner
● Knowledge in rostering and forecasting (business flow analysis)
● Sales and Retail Trade experience
● Social Media marketing is a plus but not highly required
● Strong time management, ability to manage multiple tasks, attention to detail and proactive.
● Strong work ethic
● Expert and highly confident in using MS Office (Word, PowerPoint, Excel/Excel Formulas,
● Can work with minimum supervision
● Ability to quickly learn new systems and online tools
● Ability to adapt and think on your feet
● Background working in a fast-paced environment
