Marketing Sales Admin (Real Estate & InDesign Experience)

Duties and Responsibilities:
 
  • Prepare and maintain all correspondence and typing (including Dictaphone typing) for Sales and Leasing including letters, reports, faxes, appraisals (including marketing costs), submissions, information memorandums, brochures, press releases, file notes, spreadsheets, rental arbitrations and determinations etc (using Microsoft and Adobe software)
  • Organise addressed and un-addressed mail outs either in-house or via a mailing company/Australia Post
  • Email/post/fax property information to potential enquirers
  • Liaise with owners and tenants via email/telephone on various matters (i.e. marketing approval, documents.)
  • Generate/run reports from in-house database as required by Sales and Leasing Consultants
  • Registration of Sales and Leases on Property Base. Prepare letters to Purchasers, Vendors, Lessees/Lessors and settlement agents with regard to sales/leases.
  • Collating leases, liaising with Solicitors and Lawyers regarding leases/disclosure statements and tracking leases on an internal spreadsheet.
  • Update and manage properties on various websites and remove when required
  • Enter data into Property Base (in-house database) pertaining to properties and contacts/enquiries
  • Setting up of Leasing/Sales files including physical files and updating in-house database
  • Coordination and preparation of advertising material and costs such as mail outs and flyers and liaison with the Marketing Services
  • Ordering signboards and liaising with signage company
  • Booking of accommodation/corporate travel
  • Maintaining and reconciling the Sales and Leasing key registers
  • Keeping on top of department electronic archiving and ensuring an accurate filing system
  • Department daily mail duties
  • General administration
  • Reception relief as per roster
  • Assist director/sales representative with diary management
  • Ensure awareness and compliance with relevant Quality Assurance procedures
Qualifications and Experience:
  • Has relevant business experience in a real estate environment ideally in an Office Administration role
  • Has experience with Adobe InDesign
  • Proficient in Microsoft Excel, Word and Outlook
  • Good written and verbal communication skills
  • Must be flexible to meet deadlines where needed by the team
  • Ability to adapt to new software and administrative tasks effectively
  • Previous experience in a reception role would be an advantage
  • Experience in other Adobe products i.e. Illustrator is a plus
  • Experience or knowledge in using PropertyBase software is an advantage
  • Must be willing to work in Clark, Pampanga
