Property Management Assistant (Australian Background)

Duties and Responsibilities:
  • Generating Weekly KPI Reports of Arrears, Leases, Maintenance, Rent Reviews, Inspections and Vacates for every Property Manager
  • Adding newly acquired properties and owners- Management Agreement
  • Scheduling Smoke Alarms Inspection with tenants
  • Adding Tenant Details into the Smoke Alarm Portals
  • Monitoring Outstanding invoices and advising PMs to send emails to owners
  • Creating Water Usage Accounts
  • Processing Water invoices notifying tenants
  • Archiving PIP Certificates
  • Generating Vacancy Reports in PropertyTree
  • Generating Performance Reports of PMs in Inspect Real Estate
  • Monitoring Bond Audits
  • Checking Pre settlement fee Audits
  • Updating the list VIP Owner every month or as per need basis
Qualifications and Experience:
  • Minimum of 1 to 2 year experience working as a Property Management Assistant in the Australian Real Estate industry
  • Previously worked as a Virtual Assistant
  • Experience in customer support and interacting with 3rd party vendors/suppliers
  • Skilled in using Microsoft Office, Google Suite, and any Customer relationship management (CRM) software preferably PropertyTree
  • Excellent written and verbal communication skills, good at taking instructions and speaking up if they don’t understand
  • Quick learner and adaptable to new software and administrative tasks effectively.
  • Honest, reliable, proactive, with a ‘can do’ attitude, and the ability to work independently as part of a team
  • Able to show good attention to detail, work on time critical tasks, multi-task and adhere to deadline
