Property Management Assistant (Booking/Reservations Background)

Duties and Responsibilities:
  • Answer phone calls, respond to phone messages and email inquiries
  • Confirm availability, quote and book guest and owner reservations using an automated reservation system
  • Manage content within the property management system, channel manager, channels and our website
  • Respond to emails and owner booking requests in both 365Villas (virtual email address) and business email
  • Check guest payments are up to date; collect payments daily
  • Collect pre-authorised bonds and send access messages
  • Write protocols and procedures for office based tasks
  • Collect payments from guests via credit cards
  • Liaise with guests before, during and after bookings if necessary
  • Monitor requests from Facebook
  • Enter and save invoices into Xero and 365villas
  • Write guest reviews on channels
  • Troubleshooting guest and owner issues
  • Organise repairs with tradesmen when necessary
  • Project managing maintenance for owners
  • End of month reconciliation
  • Liaise with the operations manager regarding bookings and maintenance issues
  • Check property settings on sales channels
  • Miscellaneous copies and filing for property management folders
  • Communication with channels and software providers regarding fixing glitches in their software
  • Checking listings to make sure they are synching correctly in channels and the website
Qualifications and Experience:
  • Minimum of 1 to 2 years of experience working as a Booking/ Reservations Specialist
  • Previously worked as a Virtual Assistant
  • Experience in customer support and interacting with third party vendors/suppliers
  • Skilled in using Microsoft Office, Google Suite, and any Customer relationship management (CRM) software
  • Excellent written and verbal communication skills, good at taking instructions and speaking up if they don’t understand
  • Quick learner, adaptable to evolving and new software and performing administrative tasks effectively.
  • Honest, reliable, proactive, with a ‘can do’ attitude, and the ability to work independently as part of a team
  • Able to show good attention to detail, work on time critical tasks, multi-task and adhere to deadline
  • Experience or skills in SEO would be an advantage
  • Shift Schedule: 2:00 pm to 11:00 pm
  • Rest Days: Mondays and Tuesdays / Tuesdays and Wednesdays
