Senior Dedicated Webcasting Assistant (Tech Support, Zoom/MS Teams)

This role is for individuals with drive, flexibility and passion in delivering world class service to clients.
Delivering thousands of days of virtual training each year, this new role is critical to this service.
As a Dedicated Webcasting Assistant, you will be handling the following tasks.
Duties and Responsibilities:
  • Inform the Support TEAMS channel once logged into the assigned room on the day
  • Log into Zoom or WebEx room 45 minutes prior to programme start time
  • Ensure that the Trainer is connected and has the correct privileges assigned to them to be able to present and manage the virtual training room before leaving
  • Inform the Support TEAMS channel if the Trainer is not logged in by 30 minutes prior to delivery
  • Assist the Trainer in admitting attendees to the training room and check that the attendees are on list supplied
  • Assist the Trainer in resolving any audio or video issues either raised by the Trainer or the attendees using the troubleshooting documents provided
  • If unable to resolve audio or video issues, contact the Recordings Team via the Support TEAMS channel who will connect as soon as feasible
  • Stay connected for the first 30 minutes of the session to ensure that all attendees have been able to connect, and the training is underway
  • Assist with starting the ‘record’ button if required
  • Ensure the Trainers have the link to the TEAMS support channel for quick access to the Recordings Team, once they leave the room
  • Telephone numbers are provided for the relevant programme owner as part of the ‘Trainer Briefing Document’. Send details to Trainers prior to their training
  • After each session, report back to the central Support TEAMS channel any issues faced and solutions provided to the delegates
Qualifications and Experience:
  • Degree in Information Technology, Office Administration or similar
  • Virtual Training Session Support and Coordination experience
  • Knowledge with Zoom, MS Teams, or Similar Platforms
  • Basic Troubleshooting knowledge (e.g. resolve Audio or Video Issues)
  • Email Management skills (MS Outlook, Gmail)
  • Strong Computer skills (Tech Savvy)
  • Excellent written and verbal communication skills
  • Great attention to details
  • Has good attendance record and must be punctual
  • Proactive and has the ability to work independently part of the team
