Virtual Assistant (Data Management, Reconciliation, Social Media)

Duties and Responsibilities:
 
Records/Photos/X Rays
  • Create Patient file on Invisalign Portal (if required)
  • Edit photos in Windows Photos as per specific requirements
  • Upload photos onto Ultimo
  • Upload photos on Invisalign portal (if required)
  • Upload X Rays (OPG) onto Invisalign Portal (if required)
  • Attach scan to patient file on Invisalign Portal
Leads
  • Enter leads that have come directly through an online portal, into Asana
  • Enter leads from Ez-Marketer in Ultimo as prospect
  • Update outcome of contact in EzMarketer
  • Update Appointment outcome in EzMarketer
  • Update Dentist of any submissions that need to take place for Clincheck or Manufacturing
  • Keep an updated outcome list of all leads
EzMarketer
  • All new patients enter from Intake Form that have booked appointment – Send Welcome Email from Ultimo
  • Track appointments
Social Media Enquiries
  • Reply with pre written responses (reply within minutes of enquiry)
  • Leads added to Asana for staff to call ASAP
  • Leads added to EzMarketer
Integrapay (Direct debiting system)
  • Reconciliation (daily)
Social Media Posts
  • Edit and schedule posts (Content to be given by Manager)
  • Approval required by Manager
HR
  • Letters to be sent to New Employee’s, Recruitment Candidates, Existing Employees etc (templates already created)
Other Task/s
  • Bank Account Reconciliation (daily)
Qualifications and Experience:
  • Degree in Office Administration, Business Administration, Marketing or related
  • At least 1 to 2 years of experience in an Admin Support or Virtual Assistant role
  • Experience in Social Media management 
  • Knowledge in basic photo editing
  • Proficient in MS Office and Google Apps
  • Experience in any CRM
  • Ability to adapt to new tools and software
  • Ability to acquire new skill sets and work in a diverse role
  • High attention to detail
  • Good time management and organisational skills
  • Excellent communication skills both verbal and written
  • Knowledge in bank and accounts reconciliation would be ideal
  • Must be willing to work in Clark, Pampanga
